Add your Price List and Categories

If you do not have a price list in place already, it is advisable to do so now. I recommend firstly to put pen to paper and make a decent list. Then you can sort your price list items into groups (categories). So that when you print a detailed service sales list all the items will be listed underneath its linked category. This list will also give a category amount total and will help you to see where your strong income points are.

How to add catagories:

 

Click on ITEMS on the main menu
Click on SERVICES
Click on CATEGORIES
Click on ADD
Fill in the name of the category,
continue until you added all the categories

Now you can add your price list:

Click on ITEMS on the main menu
Click on SERVICES
Click on ADD
Fill in the name of the service in English and a second language.
(Remember you can choose while adding a client if he/she gets their invoice in English or the second language.)
Click on the CATEGORY drop down list and select the category to be linked to the service item.

The input price can be with or without VAT, check or uncheck the Vat Inclusive check box.
If you want to round off the selling price or use a different price than the calculated price, fill it in
the FIXED PRICE field. This price will override the selling price and will be the price charged on the client’s invoice.
Continue adding all your price list items.

To print your price list, click on PRINT on top of the form.
Now you can make sure that every item is added and the selling price is correct.

PS: The same principle counts for all your other price list items eg Stock, Expenses and the rest on the ITEMS dropdown list on the main menu.

Select the CLIENT

Click on PETS on the main menu

Click on the ADD button
(Every client can have one to many pets linked to them.)

PetDetail

Add the pet’s name

Choose a breed from the drop down list
(There can be more breeds added to this list.)

Only mark the INCATIVE box when the pet is deceased

Enter the date of birth

Enter a description that is distinctive to this animal

Choose the sex of the animal:
Male, if it not fixed
Female, if not fixed
Neutered, fixed male dog
Spayed, fixed female dog

Add the dates of all the vaccinations eg Annual (4 in 1), Rabies and Kennel Cough for dogs  or Snuffels for cats.

These vaccinations are valid for a year and AccPet will warn you if one of them is out of date when you add an appointment or a booking.

All the information that you fill on this form is valuable data that AccPet will process in many ways behind the scenes.

For instance, the name or surname can later be used to look up a client, as well as the street address and client number. The client number is unique to every client and AccPet will automatically generate a number for each client when you press the ADD button.

The postal address will be printed on the invoices and statements. When adding the physical address the suburb name can be used in searches to group people who live in the same area.

The default language is English but there is an option for a second language of your choice eg Afrikaans or Sotho. The invoice and statement content will then be printed in the chosen language.

The cellphone field can also be used for sending SMS messages. A contact person and number other than the client will also prove to be useful if you cannot get hold of the owner, such as in an emergency where decisions have to be made.

A warning message can be added to the client detail. This message will pop up every time you click on a form that is linked to that specific client. For example if the client is a bad payer you can add that to the warning message. This message will pop up and remind you when you want to add another appointment or booking for that client.

The note field can be used to fill in the veterinarian’s name and contact number that the client normally uses. For instance if you have a query about the pet’s health history and cannot get hold of the owner.
